Please read these Terms & Conditions carefully before proceeding with any booking through Travel With Lu. By submitting payment, approving a proposal, or otherwise authorizing Travel With Lu to make travel arrangements on your behalf, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
These Terms & Conditions apply to all travel planning and booking services provided by Travel With Lu and supplement any specific terms, policies, or conditions provided in your individual proposal, invoice, itinerary, or by the applicable travel supplier.
1. Travel Agent Services
Travel With Lu acts as an independent Travel Agent and facilitator between you and third-party travel suppliers, which may include airlines, cruise lines, hotels, resorts, tour operators, transportation companies, destination management companies, travel protection providers, and other travel-related businesses.
Travel With Lu does not own, operate, control, or provide the travel services themselves.
When you book travel, the applicable supplier is responsible for providing the actual travel service and is subject to that supplier's terms, conditions, cancellation policies, schedules, and rules.
Travel With Lu will make reasonable efforts to assist with planning, reservations, communication, and travel support; however, Travel With Lu cannot guarantee the performance, availability, pricing, schedules, or policies of any third-party supplier.
2. Proposals, Pricing & Availability
All proposals, quotes, pricing, availability, itineraries, promotions, and inclusions are subject to change until the required payment has been received and the reservation has been confirmed by the applicable supplier.
A proposal or quote does not guarantee availability or pricing.
Pricing may change due to supplier rate changes, taxes, fees, currency fluctuations, airfare changes, inventory availability, or other circumstances outside of Travel With Lu's control.
Travel With Lu is not responsible for price increases that occur before a reservation is confirmed.
Once a reservation is confirmed, supplier terms will apply. Certain bookings may remain subject to future price adjustments imposed by the supplier.
3. Deposits & Payments
All deposits and payment amounts will be outlined in your individual proposal or invoice.
Unless otherwise stated in writing:
Deposits may be non-refundable.
Payments must be received by the stated due dates.
Failure to make a payment by the required deadline may result in cancellation of the reservation.
A supplier may impose cancellation penalties, loss of deposit, or other fees for missed or late payments.
Travel With Lu is not responsible for holding a reservation when required payment has not been received by the applicable deadline.
Some suppliers may automatically cancel unpaid reservations after a payment deadline.
Your reservation is not considered fully secured until you receive confirmation from Travel With Lu or the applicable supplier that the required payment has been processed and the reservation has been confirmed.
Planning fees are separate from vacation deposits, final payments, and other supplier charges. Planning fees must be paid according to the terms outlined in Section 23.
4. Cancellation & Changes
Cancellation and change policies vary by supplier, fare, rate, package, cruise, hotel, tour, or other travel service.
Your individual proposal and supplier confirmation will contain the applicable cancellation and payment terms whenever available.
If you request a cancellation or change, Travel With Lu will communicate the request to the applicable supplier when possible. Travel With Lu cannot guarantee that a supplier will approve a requested change or cancellation.
You are responsible for:
Supplier cancellation penalties
Non-refundable deposits or payments
Change fees
Fare differences
Rate differences
Administrative or rebooking fees charged by suppliers
Any other costs associated with changing or cancelling your travel
Travel With Lu is not responsible for penalties resulting from a client's failure to review cancellation deadlines or payment schedules.
Planning fees are governed separately by Section 23 and are not automatically refundable if a vacation is cancelled.
5. Travel Protection
Travel protection is strongly recommended for all trips.
Travel protection may help protect against certain unexpected circumstances, including eligible trip cancellations, interruptions, delays, medical emergencies, lost or delayed baggage, and other covered events, depending on the policy purchased.
Coverage varies by policy and provider. Travel With Lu does not determine whether a claim is covered and cannot guarantee reimbursement.
If you decline travel protection, you acknowledge and accept responsibility for any eligible or non-refundable expenses, cancellation penalties, medical expenses, interruptions, delays, or other losses that may occur.
Travel With Lu recommends reviewing any travel protection policy carefully before purchasing.
6. Travel Documents & Entry Requirements
Travelers are solely responsible for ensuring they have the proper travel documents required for their trip.
This may include:
Valid passports
Visas
ESTA, ETIAS, or other electronic travel authorizations
Government-issued identification
Vaccination or health documentation, when applicable
Customs or immigration documentation
Minor travel consent documents
Any other documents required by the destination, airline, cruise line, hotel, or government authority
Travel With Lu may provide general information or resources regarding travel documentation, but travelers are ultimately responsible for confirming current requirements with the appropriate government authorities and travel suppliers.
Travel With Lu is not responsible for denied boarding, denied entry, missed travel, or other consequences resulting from incomplete, expired, incorrect, or missing travel documents.
7. Traveler Information
Travelers are responsible for providing accurate and complete information required to make their reservations.
This includes names exactly as they appear on travel documents, dates of birth, passport information, contact information, loyalty program numbers, and any other requested details.
Travel With Lu is not responsible for errors resulting from incorrect or incomplete information provided by the traveler.
Name corrections or changes may result in additional fees and are subject to supplier policies.
8. Flights & Air Travel
Airline schedules, fares, routes, aircraft, seat assignments, baggage policies, and other flight details are controlled by the airline.
Travel With Lu does not control airline schedules or operations.
Airlines may change or cancel flights, modify schedules, change aircraft, assign or remove seats, alter baggage policies, or otherwise modify travel arrangements.
Travelers are responsible for reviewing their airline confirmations and completing any required airline check-in procedures.
Unless specifically included in your booking, seat selection, checked baggage, onboard meals, upgrades, and other airline services may require additional fees.
Travel With Lu is not responsible for missed flights resulting from circumstances including, but not limited to, traffic, weather, security delays, personal delays, or failure to arrive at the airport within the airline's required timeframe.
9. Hotels & Accommodations
Hotel photos, descriptions, amenities, room categories, views, bedding configurations, and other property details are provided by the applicable supplier and may change.
Specific room requests, including bed types, adjoining rooms, accessibility requests, early check-in, late checkout, views, and special occasions are requests and are not guaranteed unless confirmed by the property.
Hotels may require a credit card or additional deposit at check-in for incidentals, resort fees, taxes, parking, or other charges.
These charges are the responsibility of the traveler unless specifically included in your package.
10. Cruises
Cruise reservations are subject to the applicable cruise line's terms and conditions.
Cruise lines may change itineraries, ports of call, departure times, ships, excursions, dining arrangements, or other components of the cruise.
Cruise lines may also impose specific documentation, health, check-in, payment, cancellation, and travel protection requirements.
Travel With Lu does not control cruise line operations or itinerary changes.
11. Tours, Excursions, Activities & Experiences
Tours, excursions, transportation, spa services, activities, and other experiences are provided by third-party suppliers unless otherwise stated.
Availability, schedules, meeting locations, cancellation policies, age requirements, accessibility, and other restrictions are determined by the applicable supplier.
Travelers are responsible for reviewing activity requirements and determining whether an activity is appropriate for their individual needs and abilities.
Travel With Lu is not responsible for injuries, losses, cancellations, schedule changes, supplier errors, or other issues arising from third-party activities.
12. Transportation & Airport Transfers
Transportation and airport transfers are provided by third-party transportation companies unless otherwise stated.
Travelers are responsible for following the pickup instructions provided in their itinerary or transfer confirmation.
Transfer times may change due to traffic, weather, flight delays, operational issues, or other circumstances.
Travelers should immediately notify the applicable transportation provider and/or Travel With Lu if they experience a significant flight delay or are unable to locate their transfer.
Travel With Lu is not responsible for missed transfers caused by traveler delays, failure to follow instructions, incorrect flight information, or circumstances outside of our control.
13. Affiliate Links & Third-Party Bookings
Travel With Lu may provide affiliate links to tours, activities, experiences, transportation, accommodations, or other travel services.
When you book through an affiliate link, the booking is made directly with the applicable third-party provider.
The provider's terms, cancellation policies, payment requirements, and customer service policies apply to that booking.
Travel With Lu may receive a commission or referral fee from certain affiliate bookings. This does not increase the price you pay unless otherwise stated.
For affiliate bookings, travelers are responsible for reviewing their confirmation and ensuring the email address entered at checkout is accurate.
14. Itineraries & Travel Information
Travel With Lu may provide a personalized itinerary containing flight information, hotel details, tours, activities, transfer information, confirmations, recommendations, and other travel details.
Itineraries are provided for convenience and may be updated as information becomes available.
Travelers are responsible for reviewing their itinerary and confirmations before and during travel.
Supplier schedules and details may change after an itinerary has been prepared.
Always verify time-sensitive information directly with the applicable supplier when appropriate.
15. Traveler Responsibilities
Travelers are responsible for:
Reviewing all booking confirmations and travel documents
Meeting payment deadlines
Confirming passport and entry requirements
Arriving on time for flights, transfers, tours, cruises, and other reservations
Following supplier rules and policies
Providing accurate traveler information
Maintaining required identification and documentation
Monitoring itinerary changes
Following local laws and regulations
Paying any charges not included in the travel package
Purchasing appropriate travel protection
Notifying Travel With Lu promptly of any issues that require assistance
Travelers should not assume that an item is included unless it is specifically stated as included in their proposal, confirmation, or itinerary.
16. Special Requests, Allergies & Accessibility
Travelers must communicate any dietary restrictions, allergies, mobility needs, medical considerations relevant to travel, or other special requests before booking whenever possible.
Travel With Lu will communicate requests to suppliers when appropriate; however, special requests are not guaranteed unless the supplier confirms them.
Travelers are responsible for determining whether their chosen travel arrangements are suitable for their individual needs.
17. Travel Delays, Disruptions & Emergencies
Travel With Lu will make reasonable efforts to assist travelers when issues arise during travel, but we cannot guarantee immediate assistance or resolution.
Travelers should first contact the airline, hotel, cruise line, transportation provider, tour operator, or other supplier directly when immediate assistance is required.
For emergencies, travelers should contact local emergency services or the appropriate government authority.
Travel With Lu is not an emergency response service and cannot guarantee 24-hour availability.
18. Force Majeure & Events Outside Our Control
Travel With Lu is not responsible for losses, delays, cancellations, additional expenses, or disruptions resulting from circumstances beyond our reasonable control, except to the extent liability cannot legally be excluded.
These may include:
Severe weather
Natural disasters
Pandemics or epidemics
Government actions
Political unrest
War or terrorism
Strikes or labor disputes
Airline or supplier failures
Transportation disruptions
Airport closures
Changes in government regulations
Acts of God
Other unforeseen circumstances
Any refunds or credits resulting from such circumstances are subject to the policies of the applicable supplier and/or travel protection provider.
19. Supplier Terms Control
Each travel supplier has its own terms and conditions.
In the event of a conflict between these Terms & Conditions and a supplier's specific terms, the supplier's terms will govern the applicable travel service, to the extent applicable.
Travelers are responsible for reviewing supplier terms before finalizing their reservation.
20. Travel With Lu Liability
Travel With Lu will make reasonable efforts to provide accurate information and professional travel planning services.
However, Travel With Lu is not responsible for the acts, omissions, errors, negligence, delays, cancellations, failures, injuries, losses, damages, or changes caused by third-party travel suppliers, except to the extent liability cannot legally be excluded.
This includes, without limitation, airlines, cruise lines, hotels, resorts, transportation companies, tour operators, excursion providers, restaurants, activity providers, and other third parties.
Travel With Lu is not responsible for personal injury, illness, property loss, theft, missed connections, missed departures, additional expenses, or other losses arising from travel services provided by third parties, except to the extent liability cannot legally be excluded.
21. Complaints During Travel
If an issue occurs during travel, travelers should notify the applicable supplier immediately and give the supplier an opportunity to resolve the issue.
Travelers should document significant issues, including photographs, receipts, emails, and other relevant information.
Travel With Lu will provide reasonable assistance when possible, but resolution and compensation are ultimately determined by the applicable supplier or travel protection provider.
22. Communication
Travel With Lu may communicate with travelers by email, phone, text message, client portal, itinerary platform, or other agreed-upon methods.
Travelers are responsible for providing current contact information and monitoring communications related to their trip.
Failure to review messages, confirmations, payment reminders, or itinerary updates does not relieve the traveler of applicable payment deadlines or supplier requirements.
23. Planning Fees & Additional Services
A. Complimentary Travel Consultation
Travel With Lu offers a complimentary 10-15-minute travel consultation to discuss your travel plans, preferences, and needs. This consultation helps determine the appropriate planning service and fee.
The complimentary consultation does not include customized research, personalized proposals, or travel quotes.
B. Planning Fee Schedule
Personalized research and trip proposals require a planning fee based on the type, scope, and complexity of the trip.
The following are starting fees for planning services:
$75 — Standard Vacation Planning: Straightforward cruises, all-inclusive resort vacations, and other single-destination trips.
$175 — Custom International Planning: International trips requiring additional research and coordination.
$275 — Complex or Multi-City Planning: Multi-city, multi-country, or other itineraries requiring more extensive research and coordination.
$250 and up — Honeymoon Planning: Personalized honeymoon research and planning.
$350–$500 and up — Destination Weddings & Group Travel: Fees depend on the number of travelers, rooms, suppliers, and the level of planning and coordination required. Group trips involving 10 or more travelers require a planning fee.
These fees are starting rates and do not guarantee that every trip will fall within a particular tier. Travel With Lu will confirm the applicable fee and scope of service before requesting payment. Fees may vary when a trip's requirements fall between tiers or involve services beyond the scope described above.
C. Payment Before Planning Begins
After the complimentary travel consultation, Travel With Lu will confirm the applicable planning fee and provide a payment link.
Planning and customized research will begin only after the client has agreed to the fee and payment has been received.
Payment of the planning fee does not guarantee a reservation, a particular price, availability, or a specific travel outcome.
D. Quote Turnaround Time
For most trips, personalized quotes are provided within 2–3 business days after the planning fee has been received.
Complex itineraries or requests requiring additional research may take longer. Travel With Lu will communicate any expected delay when additional time is needed.
Turnaround times are estimates and may vary depending on supplier response times, availability, the complexity of the request, and other circumstances outside of Travel With Lu's control.
E. What's Included in the Planning Fee
Unless otherwise stated in writing, the planning fee includes an initial proposal and up to two reasonable rounds of revisions within the originally agreed scope of the trip.
Revisions are intended to refine the original proposal based on the client's stated preferences and feedback.
A substantial change to the destination, travel dates, traveler count, trip structure, or other agreed details may require additional research and an additional fee.
Any additional fee will be discussed and agreed upon before additional work begins.
F. Non-Refundable Planning Fees
Planning fees are non-refundable once planning has commenced, including when the client decides not to book, changes their mind, does not respond to communications, or chooses to make travel arrangements independently.
If the client requests cancellation before planning begins, any refund will be handled according to the terms disclosed at the time of payment and applicable law.
Planning fees compensate Travel With Lu for the time, expertise, research, and services provided. They are separate from the cost of the vacation and are not a deposit toward travel expenses.
Unless Travel With Lu expressly agrees otherwise in writing, planning fees will not be credited toward the cost of the vacation or refunded because the client decides not to book.
G. Additional Research & Resumed Planning
If a client requests additional research, new proposals, substantial revisions, or a restart of planning after the original agreed scope has been completed, an additional fee may apply.
This may include situations where a client becomes unresponsive after receiving a proposal and later returns requesting new options, changes, or additional planning.
Any applicable additional fee will be communicated and agreed upon before the additional work begins.
H. Planning Fees Are Separate From Travel Costs
Planning fees are separate from supplier charges, vacation deposits, final payments, travel protection, and other travel expenses.
A planning fee does not guarantee that a particular trip, itinerary, promotion, price, or reservation will be available.
All travel pricing and availability remain subject to the applicable supplier's terms and conditions.
24. Group Travel
Group trips organized or hosted by Travel With Lu may have additional terms, payment schedules, participation requirements, and cancellation policies.
Group travelers are responsible for reviewing and accepting the specific terms provided for their group trip.
Group trip deposits and payments may be non-refundable and subject to supplier cancellation policies.
Planning fees for group travel are addressed in Section 23. Any separate terms for a specific group trip will be provided in the applicable group proposal or agreement.
Travel With Lu reserves the right to remove a traveler from a group trip for disruptive, threatening, abusive, or inappropriate behavior. Any resulting refunds will be subject to the applicable supplier terms.
25. Chargebacks & Payment Disputes
Travelers are encouraged to contact Travel With Lu directly regarding questions or disputes concerning a payment before initiating a chargeback.
A chargeback does not automatically cancel a travel reservation or release the traveler from applicable supplier cancellation or payment obligations.
Travel With Lu may provide documentation of approved bookings, payments, communications, and applicable terms to the payment processor or financial institution in the event of a dispute.
26. Privacy & Personal Information
Travel With Lu may collect personal information necessary to research, arrange, and manage your travel reservations.
Information may be shared with applicable travel suppliers and service providers when necessary to complete your booking.
Travelers should not provide unnecessary sensitive personal information unless specifically requested for a legitimate travel-related purpose.
