By joining this hosted group experience, you agree to help create a respectful, welcoming, and positive environment for everyone in the group. While no trip can guarantee that everything will go exactly as planned, Travel With Lu will do its best to coordinate the experience and provide support throughout the trip.
Please take a moment to carefully review the following Terms & Conditions before submitting payment or completing your required travel forms.
Authorization to Act on Client’s Behalf
By engaging the services of Travel With Lu (“Travel Agent”), the Client acknowledges and agrees to the following Terms and Conditions.
Client authorizes Travel With Lu to research, plan, arrange, book, modify, and manage travel-related services on Client’s behalf. This includes, but is not limited to, flights, hotels, resorts, vacation packages, cruises, train tickets, ground transportation, rental vehicles, tours, excursions, attraction tickets, travel protection, and any other travel-related products or services required to complete the Client’s itinerary.
Travel With Lu acts solely as an intermediary between the Client and third-party travel suppliers and does not own, operate, or control any of these services.
Payment Authorization
By providing payment details, Client expressly authorizes Travel With Lu to process payments on their behalf for all agreed-upon travel services. This includes deposits, installment payments, final payments, and any approved changes or additions requested by the Client.
Client confirms that all payment information provided is accurate and that sufficient funds will be available when payments are processed.
Deposits and Payments
All deposits made toward travel arrangements are strictly non-refundable and non-transferable unless otherwise stated in writing by Travel With Lu or the applicable travel supplier.
Deposits cannot be applied toward another person, booking, travel date, or destination.
Client understands that supplier cancellation policies apply and may include penalties, restrictions, or forfeiture of funds depending on the timing of cancellation and booking conditions.
Client acknowledges that travel arrangements are purchased based on supplier deadlines, contracted rates, and availability. Cancellation penalties may increase as the departure date approaches and may result in the loss of some or all funds paid.
Travel With Lu does not have the authority to override supplier cancellation policies.
Hosted Group Trip Terms
Client understands that reservations for the Travel With Lu Rome Group Experience are subject to specific trip dates, payment schedules, deadlines, availability, occupancy requirements, and supplier requirements.
Group trips require advance commitments with airlines, hotels, tour operators, transportation providers, and other suppliers. By submitting payment, Client acknowledges that their reservation is confirmed based on the terms outlined for this specific group experience.
Space is limited, and reservations are secured based on availability and receipt of required payments. Failure to submit payments by required deadlines may result in cancellation of the reservation and forfeiture of amounts paid according to applicable supplier policies.
Travel With Lu reserves the right to adjust itinerary details, accommodations, transportation, activities, or other trip components due to supplier availability, operational changes, weather, or circumstances outside of Travel With Lu’s control.
Group Experience & Positive Environment
This is a hosted group experience, and participation in group activities, shared transportation, scheduled experiences, and other group components may require flexibility and cooperation.
Clients are expected to treat fellow travelers, Travel With Lu, suppliers, guides, hotel staff, transportation providers, and other individuals involved in the trip with courtesy and respect.
Travel With Lu is committed to creating a welcoming and enjoyable environment. Disrespectful, threatening, disruptive, discriminatory, or unsafe behavior will not be tolerated.
Travel With Lu reserves the right to address conduct that negatively impacts the safety, comfort, or experience of the group, including removing a traveler from the hosted experience when necessary. Any costs associated with removal, including transportation, accommodations, meals, or other expenses, will be the sole responsibility of the Client.
Traveler Conduct
Client agrees to conduct themselves respectfully and responsibly throughout the trip.
Travel With Lu reserves the right to remove a traveler from a hosted group experience if their behavior creates safety concerns, disrupts the experience of other travelers, violates local laws, or negatively impacts suppliers, staff, or group operations.
Any costs associated with removal, including transportation, accommodations, meals, or other expenses, will be the sole responsibility of the Client.
Room Occupancy & Roommate Policy
For reservations based on double occupancy, Client understands that pricing is based on two travelers sharing one room.
If a roommate is not secured, cancels, or is otherwise unable to travel, Client may be responsible for any applicable single supplement fees or additional costs required by the supplier.
Travel With Lu is not responsible for finding a replacement roommate or covering additional costs resulting from a roommate cancellation, change, or withdrawal.
Travel Protection
Travel protection is included with this group experience as the Travel Credit Protection option to help protect the Client’s investment.
Clients may choose to:
Option 1: Travel Credit Protection
Keep the included protection, which provides future travel credit according to the protection plan’s terms and conditions. The travel credit option provides future travel credit minus the cost of the protection plan itself.
Option 2: Cash Refund Protection
Upgrade to the Cash Refund protection option for the applicable additional fee. This option provides reimbursement to the original form of payment, subject to the protection plan’s terms, conditions, exclusions, limitations, and eligibility requirements.
Option 3: Waive Travel Protection
Clients may decline travel protection. By doing so, the Client acknowledges that they may be responsible for non-refundable or non-recoverable travel expenses resulting from cancellation, interruption, modification, delays, or other circumstances.
By selecting a travel protection option, Client understands that coverage details, inclusions, exclusions, limitations, and eligibility are determined solely by the travel protection provider and not by Travel With Lu or the Travel Advisor.
Client understands that travel protection is non-refundable once purchased and that coverage may vary based on the reason for cancellation or interruption.
Client acknowledges that declining travel protection may result in penalties, loss of funds, or limited recovery options if they cancel, interrupt, or modify their trip.
Client understands that it is their responsibility to review the full travel protection policy and any applicable terms provided with the proposal or electronically before purchasing coverage.
Travel With Lu strongly recommends maintaining travel protection to help protect the Client’s investment.
Supplier Terms and Conditions
All travel services are subject to the terms, conditions, rules, and restrictions of the respective travel suppliers.
Client agrees to review and comply with all supplier policies, including but not limited to cancellation rules, refund eligibility, change penalties, baggage policies, documentation requirements, and check-in procedures.
Travel With Lu is not responsible for enforcing, changing, or overriding supplier policies.
Tours, Activities, and Referral Links
When Client books tours, activities, or other travel services using referral or affiliate links provided by Travel With Lu, those reservations are considered self-managed unless otherwise agreed upon in writing.
Client is responsible for managing, modifying, canceling, and communicating directly with the applicable supplier for those reservations.
If Client requests assistance from Travel With Lu with a self-managed booking, that request must be made in advance and accepted by Travel With Lu.
Travel Documents and Accuracy
Client is responsible for reviewing all travel documents immediately upon receipt and notifying Travel With Lu of any errors.
Travel With Lu is not responsible for issues resulting from incorrect or incomplete information provided by the Client, including names, dates of birth, passport details, or other identifying information required to match government-issued identification.
Passports, Visas, and Entry Requirements
Client is solely responsible for ensuring they meet all entry requirements for their destination, including valid passports, visas, travel authorizations, vaccinations, and any other required documentation.
Travel With Lu is not responsible for denied boarding, denied entry, additional expenses, or missed travel opportunities resulting from failure to meet entry requirements.
Third-Party Responsibility
Client understands that Travel With Lu does not own, operate, or control any third-party suppliers.
Travel With Lu shall not be held responsible for delays, cancellations, injuries, damages, schedule changes, service failures, supplier bankruptcy, or any other issues caused by airlines, hotels, resorts, transportation providers, tour operators, or other vendors.
Limitation of Liability
Travel With Lu’s liability is strictly limited to the amount of commissions or service fees actually earned from the booking.
Under no circumstances shall Travel With Lu be liable for indirect, incidental, consequential, special, or punitive damages arising from the use of its services.
Changes and Modifications
Any changes requested after booking may be subject to supplier availability, price increases, penalties, and additional fees.
Travel With Lu does not guarantee that requested changes can be made or that original pricing, availability, or itinerary components will remain available.
Chargebacks and Payment Disputes
Client agrees to first contact Travel With Lu regarding any billing concerns, disputes, or questions related to authorized transactions and allow reasonable opportunity for resolution before initiating a chargeback or payment dispute.
Client acknowledges that payments made toward travel arrangements are subject to the agreed-upon terms, supplier policies, and cancellation restrictions.
Force Majeure
Travel With Lu shall not be responsible for any failure or delay in performance caused by events outside of its reasonable control.
This includes, but is not limited to, natural disasters, weather events, pandemics, government actions, labor strikes, transportation disruptions, supplier bankruptcy, civil unrest, or other unforeseen circumstances.
Travel protection is strongly encouraged to help mitigate financial risks associated with such events.
Photography and Media Release
Client acknowledges that Travel With Lu may capture photographs and/or video during hosted group experiences for marketing, social media, website, and promotional purposes.
By participating in a Travel With Lu hosted experience, Client grants permission for their likeness to be used for promotional purposes unless they provide written notice to Travel With Lu prior to departure.
Governing Law
These Terms and Conditions shall be governed by and interpreted in accordance with the laws of the Commonwealth of Massachusetts.
Acceptance of Terms
By submitting payment, approving a booking, completing required travel forms, or otherwise engaging Travel With Lu for travel services, Client confirms that they have read, understood, and agreed to these Terms and Conditions in full.
Client understands that these Terms and Conditions apply to their participation in the Travel With Lu Rome Group Experience and acknowledges that they are responsible for reviewing all applicable travel documents, supplier terms, payment schedules, cancellation policies, and travel protection information provided to them.
